Position: Accounts Receivable Specialist                                                            Reports to: Assistant Controller

General Scope
This position will be responsible for performing a range of accounting and clerical tasks related to the invoicing-to-collection function, including, but not limited to, setting up and maintaining customer master files; managing customer relationships; processing customer invoices timely, accurately, and in accordance with contractual provisions; working with customers and/or external service providers to collect outstanding balances on a timely basis; and ensuring supporting documentation is properly maintained in accordance with best practices and internal record-retention policies.

Responsibilities
·       Sets up and maintains customer master files in accordance with best practices.
·       Maintains customer portals.
·       Provides Form W-9s and banking information to customers for proper payment.
·       Processes customer invoices timely, accurately, and in accordance with contract terms.
·       Processes credit memos as needed.
·       Processes late fees and financing charges as needed and in accordance with contractual provisions.
·       Reconciles processed work by verifying entries, including those recorded to recognize revenue, and comparing system reports to recorded balances.
·       Maintains accounting ledgers, including the aging of accounts receivable balances, by verifying and posting account transactions using proper general ledger account codes and in compliance with generally accepted accounting principles.
·       Assists in the determination and establishment of needed allowances for doubtful accounts.
·       Works with customers to collect outstanding balances on a timely basis.
·       Assists with external collection efforts as needed and assigned.
·       Ensures supporting documentation is properly maintained in accordance with best practices and internal record-retention policies.
·       Protects the organization’s confidential, sensitive, and private information.
·       Updates job knowledge by participating in educational opportunities.  

Minimum Qualifications
·       High school diploma
·       Previous accounts receivable experience
·       Outstanding verbal and written communication skills
·       Proficient with Microsoft Office, particularly with Microsoft Excel
·       Knowledge of basic accounting principles
·       Strong attention to detail and accuracy 
·       Strong organization skills with the ability to prioritize and manage deadlines
·       Strong analytic abilities

Preferred Qualifications
·       Bachelor’s degree in accounting, finance, or related field a plus

Salary Range: $40,000 - $55,000
