Contract Systems Administrator - Crete, IL/Hybrid

ESSENTIAL FUNCTIONS: 
Contract Lifecycle Management Duties 
  • Learn all aspects of CPCLM, inclusive of all administration page management and report creation and maintenance, as well as how it integrates with Holland CRM system. 
  • Meet with CPCLM support team and developers on a regular basis to maintain optimal usage of CPCLMS. 
  • Learn all aspects of the CRM system and how it integrates with other internal systems 
  • Accept all contract requests from internal stakeholders including requests input into the CRM System, and when needed, collect missing information. 
  • Ensure all contract requests are timely entered into the CPCLM system, including uploading of relevant prior documentation if it is not already in the system. 
  • Update internal stakeholders of the status of contracts in the review process and other related issues by utilizing the Discussion Board in the CPCLMS. 
  • Build and maintain all company reports through CPCLMS. 
  • Manage/run meetings related to the usage of CPCLMS. 
  • Identify gaps and coordinate with multiple departments to ensure the contract review process is completed timely and accurately and within required established guidelines. 
  • Facilitation of redline and versioning control of legal contracts in CPCLMS. 
 Other Duties 
  • Monitoring deadlines for bid packages/contracts in for General Manager -  Legal Operations and Contracts Manager calendar 
  • Manage all signatures in compliance with the Holland Signature Authority. 
  • Attend internal process meetings, as required. 
  • Assist in management of internal certificates of insurance. 
  • Assist Contract Manager in management of Holland template library. 
  • Other duties, as assigned. 
 
 
PHYSICAL REQUIREMENTS: 
  • Standing, walking, bending, and sitting for extended periods are required to perform basic office functions. 
  • Ability to lift up to 15 pounds is regularly required for filing and other record keeping duties. 
  • Vision must be sufficient for inputting data into a computer. 
  • Keyboarding skills that reduce the risk of carpal tunnel and other office related injuries. 
 
ENVIRONMENTAL CONDITIONS
  • Indoor office/home environment 
  • This position is mainly a work from home but will need to come to the office for meetings and as required for last minute requests. 
 
QUALIFICATIONS: 
  • Associate Degree or similar experience required. 
  • 1 year experience in a contract support role required, or business role closely associated with contract management responsibilities. 
  • Experience working in construction or railroad environment, strongly desired. 
  • CRM or similar system experience preferred. 
  • Well-developed and professional interpersonal skills 
  • Willingness to learn Railroad industry operations requirements. 
  • Ability to work in a fast-paced environment with last minute requests. 
  • Attention to detail and multi-tasking skills. 
  • Positive attitude and strong work ethic; ability to work in a team-oriented environment. 
  • Ability to successfully complete all necessary pre-employment testing required by Holland, L.P. 
  • Ability to maintain a Valid Driver’s License and abide by our Corporate Fleet Policy.
