Job Summary: 
              This role is responsible for processing vendor invoices, managing weekly check runs, and maintaining accurate compliance documentation in support of construction operations. This role also oversees the preparation and submission of certified payroll reports. Working closely with project managers and vendors, the coordinator ensures proper coding, approval workflows, and regulatory adherence using Viewpoint Vista. Strong attention to detail, construction industry knowledge, and cross-functional collaboration are essential for success in this position. 
 
Duties & Responsibilities: 
Accounts Payable (AP) 
-          Process vendor invoices accurately and timely using Viewpoint Vista and AP Wizard. 
-          Match purchase orders and receiving documents; code invoices to correct job and phase. 
-          Ensure proper approvals are in place and vendor compliance documents (W-9, COI) are received. 
-          Prepare and execute weekly check runs, including EFT and paper checks. 
-          Maintain accurate vendor files and 1099 tracking. 
-          Collaborate with project managers to resolve invoice discrepancies. 
-          Monitor lien waivers and ensure timely collection. 

Certified Payroll 
-          Prepare and submit certified payroll reports (e.g., WH-347, state-specific forms) using Vista. 
-          Ensure accurate timecard entry and proper labor coding to jobs, phases, and wage classifications. 
-          Track prevailing wage determinations and fringe benefits based on project requirements. 
-          Upload and maintain reports in client compliance portals (e.g., LCPtracker, eMars, Elations). 
-          Maintain and organize all required backup documentation for audits and agency requests. 
-          Stay up to date on Davis-Bacon Act and local prevailing wage laws. 
 
Required Skills & Abilities: 
-          Understanding of union fringe benefit reporting and multi-state wage requirements preferred. 
-          Proficiency in Excel, Outlook, and document management systems. 
-          Strong communication and interpersonal skills to work cross-functionally with operations, vendors, and clients. 
-          Detail-oriented with excellent organizational and time-management skills 

Education & Experience: 
-          3+ years of experience in construction accounting or relevant field, with specific experience in AP and certified payroll preferred 
-          Experience in heavy civil, excavation, or public works construction preferred 
-          Familiarity with compliance software (LCPtracker, eMars, or similar) preferred 
-          Strong knowledge of certified payroll regulations (Davis-Bacon, state-specific, union reporting). 
-          Familiarity with lien waivers, subcontractor compliance, and construction job costing. 
-          Proficient in Viewpoint Vista (AP, JC, PR modules preferred)

This role is targeting a range of $55-65k plus a target bonus of 10% annual base salary.
